Overall Objective of the Job
The Inventory Supervisor is responsible for effective control, monitoring, and optimization of inventory including raw materials, finished goods, spares, and consumables. The role ensures accurate stock records, timely availability of materials, compliance with internal controls, and coordination with production, procurement, and dispatch teams to support uninterrupted manufacturing operations. Role Description
Inventory Management- Monitor and control inventory levels of raw materials, finished goods, spares, and consumables
- Ensure accurate stock records in ERP/system through timely GRN, issue, and transfer entries
- Maintain minimum, maximum, and reorder levels to avoid stock-outs or over-stocking
- Conduct regular cycle counts and physical stock verification; investigate and resolve variances
Finished Goods Control
- Ensure proper storage, identification, and handling of finished goods
- Coordinate with production and dispatch teams for timely FG movement
- Maintain FIFO/FEFO practices as applicable
- Prepare FG inventory reports and aging analysis
Spares and Consumables Management
- Maintain critical spares inventory to ensure equipment uptime
- Classify spares (ABC / VED / FSN analysis) and optimize stock levels
- Coordinate with maintenance and procurement teams for spares planning
Documentation & Compliance
- Maintain all inventory-related documentation (GRN, issue slips, stock registers)
- Ensure compliance with company policies, audit requirements, and safety standards
- Support internal and external audits related to inventory
Coordination & Reporting
- Coordinate with Procurement, Production, Maintenance, Quality, and Finance teams
- Prepare daily, weekly, and monthly inventory reports
- Highlight slow-moving, obsolete, and non-moving (SLOB) items
Documentation & Reporting
- Verify all incoming and outgoing goods against purchase orders, delivery notes, and issue vouchers
- Prepare daily, weekly, and monthly inventory reports for management review
- Support internal and external audits, ensuring compliance with company policies and regulations
- Maintain accurate documentation of stock movements, adjustments, and disposals
Team Leadership & Coordination
- Supervise and guide storekeepers, loaders, and other warehouse staff
- Conduct training on inventory procedures, safety, and proper stock handling
- Evaluate staff performance and encourage continuous improvement initiatives
- Assign duties, monitor performance, and ensure discipline and housekeeping (5S)
- Coordinate closely with Procurement, Production, Quality, and Logistics teams to ensure smooth material flow
- Communicate inventory discrepancies, shortages, or stock issues promptly to management
Process Improvement & Compliance
- Identify inefficiencies and implement process improvements to optimize inventory management
- Enforce compliance with safety regulations, SOPs, and organizational policies
- Implement strategies to minimize waste, shrinkage, and stock discrepancies
- Any other duty that may be assigned by management from time to time
Academic Qualifications & Professional Experience
- Bachelor's Degree in any of the following fields: Accounting/Finance/Operations Management/Supply Chain or any other business-related field. PSPTB/CPAK/ACCA
- Knowledge and relevant experience of not less than Six (6) years in warehousing Inventory control in a manufacturing firm
- Good understanding of stock related operational and control requirements
- Strong analytical, numerical, and problem-solving skills
- Proficiency in ERP systems SYPRO, WMS
- Excellent organizational, leadership, and communication skills
- Attention to detail, high integrity, and proactive mindset
- Working knowledge of Health, Safety and Quality management process
- Knowledge of materials control and inventory management
- Basic understanding of warehousing, principles, and procedures
- Good working knowledge and understanding of Kaizen, GMP and factory processes & technology. Basic proficiency with computer applications and programs including MS365
