Job Purpose
To co-ordinate and manage various aspects of Warehousing (inbound and outbound), planning, and raw material Store. To assist Procurement and logistic Manager in execution of day-to-day tasks.
Key Accountabilities
General & Task Management
- Oversee the following team and individual activities and plan resources accordingly: (Cycle counting, Stock adjustments & investigations, Truck turn around, Production planning, Raw material receiving and issuing, monitoring stock and placing order accordingly)
- Adhere to streamline targets and methodologies.
- Tracking and coordinating the receipt, storage, and timely delivery of goods and materials.
- Ensure there is maintenance of records, reporting relevant information, and preparing any necessary documentation.
- Communicating and coordinating with other departments and customers.
- Control of Forklift Truck management to ensure full operational capacity and achieve daily targets.
- Monitor and maintain stock accuracy by ensuring the physical stock is in line with the warehouse management system and ensure all stock movements are recorded to ensure accuracy.
- Monitor stock levels to highlight minimum and excess levels and therefore prevent part shortages.
- Physically receiving and checking of stock returned from customers and liaison with Warehouse Administrator/Logistics Foreman of such.
- Investigating of stock variances
- List and report damaged warehouse stocks on daily basis.
- Carry out monthly stock counts and daily cycle counts as required.
- Assist Stock Controller in monitoring all stock movement in and out of the warehouse, returns by customers, write-offs due to damages and any other issue relating to Inventory control.
Customer Service
- Following the consolidated coming orders on the system from Sales team and keep operation team aware about
- Check orders’ payments with Finance.
- Check stock availability with warehouse representative and make sure it fits the coming orders.
- Coordinate with customers about trucks arrival time to the plant (depends on stock & production) and collect the needed data (plate number/ number of boards/ driver name…)
- Coordinate with truck contractor (in case that we do the dispatching)
- Send the customer the estimated arrival time to the customer warehouse through a WhatsApp message.
- Record all the data related to the order, in order to develop CSI report (Customer Satisfaction Index) to measure the dispatch performance and how to improve it.
- Receiving & recording the complaints (Quality, lead time, trucks delays, inventory & availability …etc.) and giving feedback to the customers
- From time to time, She/he has to visit the market and meet customers to understand their journey & main pain-points.
- She/he will be the center point for the customers to check the ordering & dispatch processes … that will give more time to Sales to focus on creating demand.
People Management
- Identify team training needs.
- Conduct on the job coaching while utilizing a formalized individual coaching plan with team members.
- Ensure adherence to policies and procedures.
- Manage incapacity and poor performance in line with policies.
- Set team targets and objectives.
- Motivate team in line with targets and objectives.
- Monitor and review team performance in support of customers
- Drive Company Absence Control Procedures to ensure maximum attendance levels. Administer holidays, sickness and timekeeping effectively
- Ensure cover in place for own role and subordinates.
Safety
- Conduct daily patrols.
- Manage Warehouse 3S.
- Ensure team compliance to safety regulations.
- Complete task observations
- Complete and ensure risk assessments and safe operating procedures exist for all roles.
Skills, Knowledge & Experience
- Diploma in Procurement and logistic/records management
- 3 years’ experience in Warehouse & inventory control and warehouse supervision within production/manufacturing environment
- Forklift license
- Leadership training/skills will be an added advantage.
- Computer Literate
- Presentation skills
- SAP inventory management modules
- Product knowledge Cycle count and stock count processes
- Extensive knowledge of Warehouse processes
- Strong Inter-personal skills
- Exposure to unionized environment would be an added advantage.
