Job Purpose
We are looking for a School Administrative Secretary to organize, coordinate, schedule and perform all office functions. The successful candidate will serve as secretary to the school management and coordinate communications between management and staffs, parents, students, etc.
Essential Functions
- Organize, coordinate, schedule and perform a wide variety of clerical and other
office functions and activities related to the administration
- Serve as secretary and provide administrative assistance to the management
- Make schedule and arrange appointments, meetings and conferences
- Coordinate the management's office, acting as receptionist, and contact and reference
source for staff, students, parents and the public
- Provide information over the phone or in personal contacts with parents, students
or school staffs as appropriate
- Route calls to appropriate personnel as
necessary
- Coordinate and maintain the school calendar of events
- Initiate office and general school supply purchase orders
- Receive, store and
distribute supplies and office materials
- Operate a variety of office machines such as typewriter, copiers, calculator and
computer equipment
- Perform a wide variety of problem-solving tasks in support the management
- Establish and implement revised office procedures as needed and according to
established guidelines
- Establish and maintain effective working relationships with others
- Maintain records and prepare reports
- Maintain regular attendance
- Perform other duties as assigned by management
Job Requirements
- Diploma/ Degree in Secretarial Studies, Administration or any related field. Masters Degree is a plus
- Minimum 3 years of varied and
increasingly responsible secretarial or administrative experience
- Smart, Confident and Presentable
- Correct English usage, grammar, spelling, punctuation and vocabulary
- Oral and written communication skills
- Interpersonal skills using tact, patience and courtesy
- District organization, operations, policies and objectives
- Work independently with little direction
