Primary Objectives
- In charge of Warehouse activities at the Downtown Office/s
- In charge of all logistical matters in Tanzania
- Report to VP and Operations Director of all East Africa logistical issues
- Copy/Update Distribution Center Manager on all local issues
- Supervising Downtown Warehouse staff. = 5 Staff (1
Supervisor; 4 Warehouse Assistant)
- Involved in all shipments, Logistical Issues, HS
Codes, Customs issues and product registrations
Main Tasks
Country Stock Control and Reconciliation
- Keeping PS/DC Manager
informed daily of Stock levels
- Ensuring the efficient and
productive running of the Warehouses, Logistics and the Distribution of
products
- Ensuring all stock is
received according to policy and procedures, entering all receipts
- Ensuring all adjustments
are done in accordance with company’s policies (damages, promotions expired
etc)
- Ensuring that all products
are arranged and picked in the right order
- Responsible with doing
stock reports e.g. WSR, Shipment Reports daily and Stock Counts
- Ensure stock controls to
minimize stock losses
Import/Export Duties
- Once the new invoice is
issued, ensure appropriate Paperwork and Certificates are obtained e.g. IDF,
COC and forwarding them to S/A for them to organize the inspection of goods
- Liaising with National
Warehouse (HQ) regarding all shipments
- Monitoring all shipments
and ensuring and communicating of any problem to S/A and Operations Director
E.A. (HQ)
- Calculating Duties of all
invoices to ensure taxes are paid accurately. Ensure the correct HS codes are
applied
- Supervising the clearing
agent to make sure all steps of clearing Shipments are followed, taxes paid and
all paperwork obtained and ensures goods are delivered in the warehouse
- Handling export request
from Head Office. Preparing invoices and acquiring all documentation required.
Liaising with the courier companies to ensure smooth transfer of goods from one
DC to the other within E. A region
- Ensuring we get the SOR
licence with SGS on a yearly basis and coordinate products testing with SGS
- Monthly Duty and Freight
calculation on all shipments received in EA to be done and sent to SA Finance
Department for valuation
- Do quarterly report
indicating demurrage, storage, local transport and Agency fee and send to
Director of Operations on the last day of the calendar month
Registration of Products with TBS & GCLA
- Registration of New Food Supplements
with TBS (Tanzania
Bureau of Standards), GCLA (Government
Chemical Laboratory Authority) and getting all the permits/approvals from other authorities
before the products are sold in Tanzania
- Application of
renewals/Retention of the products every year
- Application of Import
Permit with TBS on every invoice with food supplements
- Calculations of Import
permit on all invoices to ensure we pay accurately
- Register/Renewal of Super
Gro and home care products with GCLA
- Application of permit with
all Authorities needed on every Consignment
Staff at Warehouse
- Daily Supervision of all
Warehouse staff, Re: Picking, Packing and checking of stocks. Ensure they give
high Customer care services to the Distributors
- Training the Warehouse
staff on Sage / Exigo procedures. Training them on warehousing procedures as
per Company’s policies and procedures
- Monitoring the performance
and progress of the Warehouse staff. Conducting appraisals& Warehouse
Interviews
- Promote constant
motivation among warehouse staff to strive for an efficient and effective
warehouse administration
- Making sure standards of
Health and Safety, hygiene and security in the work environment are maintained.
Ensuring Cost reduction principles are adhered in all aspects of warehouse transactions
and activities
Month End Duties
- Perform Stock take, Batch
reports, Temperature report, Monthly shipments and WRS
- Entering/Investigation and
explain all variances send the report two days after the pooling day
- Ensuring all adjustments breakages/damages
etc are processed before month end
Events
- Assisting with company Events
- Preparing/delivery of all
products requests e. g Display, prizes, etc
- Reconciliation of
Product/Literature after event
Qualifications, Skills & Experience
- Minimum Diploma in Logistics/WH Management. Degree will be an added advantage
- Minimum working experience of 5 Years in a Warehouse
- Previous Management Experience of at least 3 Years
– Essential. Minimum Headcount of 3
- Certificate/Education in Logistic Warehouse Stock
Management
- Two to Three years’ experience in dealing with
shipment from South Africa and USA/Europe
- Candidates must have worked for Bollore, DHL and one of our current
clearing company
- Ability to build and maintain good relationship
with staff
- Ensure high Customer Care service to the
Distributors
- Submission of management reports on time
- Effective supervision/Security of the Warehouse
- Control Stock Losses
- Ensure Import/exports run smoothly
- Training of Staff
- Commitment and loyalty to the company
- Getting all permits with TBS, TFDA & GCLA
- Numerical Skills – Essential
