Job Profile

On behalf of our esteemed client, we are seeking for an organized and driven Operations Officer that will effectively develop and enact company policies and increase efficiency of operations for the company. The ideal candidate must be a strong leader with excellent interpersonal skills and an outstanding business intellect.

Job Duties & Responsibilities

  • Ensure that the Reception/ Office area is always clean and organized to comply with safety regulations
  • Make sure all required licenses are valid at all time
  • Ensure that operational activities are executed within allotted budget and timelines
  • Efficiently making and returning phone calls or emails in a timely manner. Every call/ Email must be returned/ replied within the same day
  • Process customer orders of products and services by entering orders into the computer system and ensuring that orders are filled correctly and on time
  • Issue rent invoice in the required format at every beginning of each month for the customers who did not purchase required coffee amount
  • Stay informed on all company services and products so customer inquiries can be answered correctly and on the spot
  • Use the Order tool in the system for future orders to avoid late/ missing incomplete or forgotten orders
  • Collect and record customer information including payment options, responsible personnel for future reference
  • Handle customer complaints and questions regarding problems with orders and always make an update in the intranet
  • Create invoice accurately only to customers with no overdue, for those with overdue seek permission to do so from the management before creating any invoice
  • To make sure orders are delivered to customers on time with an invoice, and to make sure that returned signed invoice is filed in the office file
  • Place calls to previous customers who have not placed orders recently to determine if there is something that could be done to regain their business again
  • Make sure every customer the company deals with has its Data in the company system with the current contacts of the person responsible. (Data such as business name
  • Physical and postal address, Telephone number, email address)
  • Ensure each customer data are always accurate and up to date
  • Update data in the company intranet, all communication with customer must be updated in the intranet
  • Follow up on payment from customers in a friendly manner
  • Follow up on customers who have not purchaser for over a month and give feedback through report writing in the intranet
  • Provide excellent customer service in order to build and maintain strong relationship with customers
  • Make sure each machine at customer location has an accurate serial number in the system
  • Make sure that each machine’s serial number at customer location matches with that in our system at all times
  • Count stock every Saturday of a week and if Saturday falls on weekend then the day before
  • Make sure that the stock in the warehouse matches that in the system at all times
  • Monitor product inventory
  • Report and/or Assist in resolving problems and complaint raised by unsatisfied customers and to ensure customer complaints are handled and resolved accurately and quickly
  • Prepare or maintain reports of records and other statistical and quantitative data
  • Maintain positive client and vendor relationships
  • Develop and implement plans to improve operational effectiveness and efficiency
  • Provide support to all business units including administrative, marketing and other departments
  • Look smart at all times. (white & clean blouse/shirt/ t- shirt and bottom of your choice

Job Requirements

  • Bachelor’s Degree in Business Administration or related field
  • Minimum 3+ years experience in operations, administration or customer service management
  • Strong business acumen
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, etc)
  • Adept problem solver and decision maker
  • Excellent communicator both orally and written
  • Detail-oriented
  • Diligent and proactive
  • Respectful of deadlines
