Job Brief

On behalf of our client, we are looking for a master multi-tasker with excellent communication skills and an upbeat attitude to fill Assistant Office Administrator position. The ideal candidate should be able to assist management and all visitors to the organization by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, making reservations or travel arrangements, and generally being a helpful and positive presence in the workplace.

Job Responsibilities

  • Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations etc)
  • Receive quotations from suppliers/services providers, assess and meet specifications
  • Assist in bookkeeping and procurement
  • Maintain good relationship with internal user and suppliers/service providers
  • Compiling and update employee records (hard and soft copies)
  • Assist organization in day to day operations
  • Properly handle complaints and grievance procedure
  • Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies
  • Providing real-time scheduling support by booking appointments and preventing conflicts
  • Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations
  • Screening phone calls and routing callers to the appropriate party
  • Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research
  • Greet and assist visitors
  • Maintain polite and professional communication via phone, e-mail, and mail
  • Anticipate the needs of others in order to ensure their seamless and positive experience

Job Requirements

  • Minimum Diploma in Administration or any related field
  • Minimum 3 years prior administrative experience preferably from non-profit organization
  • Knowledge of Bookkeeping or/and Procurement is a plus
  • Experience working with young people
  • Excellent computer skills, especially typing
  • Attention to detail
  • Good customer service management
  • Desire to be proactive and create a positive experience for others
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
